1

Answers the call immediately

Your facility gate or building intercom calls Rossy AI the same way it would call another configured telephone or SIP destination. Rossy answers the call, greets the caller in your facility’s name, and starts the appropriate workflow.

  • Answers configured intercom calls 24/7, including overnight, weekends and holidays
  • Can handle multiple calls at once, so tenants at different entrances are not queued
  • Identifies whether the call came from the facility gate or a storage building entrance, across single or multiple sites
2

Identifies the tenant and the storage unit

Rossy AI checks existing systems first and only asks the caller for information that is not already available.

  • Asks for the tenant name, phone number or unit number
  • Uses existing data when available, without asking the storage customer to repeat it
  • Establishes whether the caller is the account holder, an authorized user on the account, or someone else entirely
  • If the details do not return a match, asks for another identifier and searches again before escalating
3

Applies your facility access policy

Rossy AI checks the caller’s details against your facility’s access policy, not just your records.

  • Confirms the unit number against the tenant and the rental agreement
  • Checks account status, including current, suspended, overdue and closed accounts
  • Confirms the request falls inside the authorized access hours for that tenant
  • Checks move-in appointments for new storage customers who do not yet have an access code
4

Helps with common access-code problems

Most storage intercom calls are not security events. They are a tenant standing at the gate with a code that will not work.

  • Confirms whether the access code provided matches the account record
  • Identifies common causes, such as a code entered at the wrong keypad or outside access hours
  • Walks the tenant through re-entering the code correctly
  • Confirms whether a code has been changed, deactivated or suspended on the account
5

Performs the required actions

Once the tenant is verified and your policy allows it, Rossy AI carries out the action that situation requires.

  • Sends the configured DTMF command to open a compatible facility gate or unlock a storage building entrance, using your existing intercom with no new hardware installed
  • Provides directions to the correct building, floor, corridor or unit
  • Answers questions about access hours, gate operation, office hours and facility rules, and completes other predefined actions required for the interaction
6

Escalates account issues and unidentified callers

Rossy AI does not guess, and it does not argue about an account. Anything outside your automated rules goes to a person.

  • Asks the caller to repeat or provide a second approved detail before escalating
  • Explains clearly and without judgment why access cannot be provided yet
  • Escalates suspended accounts, overdue accounts and lien-related situations to your team according to facility policy
  • Transfers or denies unidentified visitors who cannot be matched to an account
  • Routes emergencies immediately according to your written procedure
  • Logs every call with a full recording, transcript, AI summary, verification trail and access outcome

From Intercom Call to Access Decision in Seconds

Self-storage moved to remote management years ago. Kiosks replaced counters, apps replaced paperwork, and codes replaced keys. The gate intercom is the one thing that still needs a person to pick up.

Traditional Unmanned Facility Workflow

  • A tenant presses the intercom at the facility gate.
  • The call routes to a remote call center or a manager’s phone
  • It queues behind other calls, or rings out entirely
  • The tenant waits at the gate, often at night
  • Someone eventually opens the management software to look up the unit
  • They check the account and access hours
  • They open the gate or explain why they cannot
  • Call center seats are paid for by the hour and still stop overnight
  • No consistent record exists of who was let in and why

With Rossy AI

  • A tenant presses the intercom at the facility gate.
  • Rossy answers instantly
  • Identifies the tenant and unit using available data
  • Collects the name, phone number or unit number
  • Checks the connected authorized system
  • Applies your account status and access hour rules
  • Resolves common access-code problems on the call
  • Opens the facility gate when authorized
  • Escalates account issues and unidentified callers to your team
  • Records the interaction and outcome

How DTMF Gate and Door Access Works

DTMF stands for dual-tone multi-frequency. It is the technology behind the tones a telephone keypad produces when a key is pressed.

Telephone and SIP intercoms have accepted these tones as a remote release command for years. When a manager presses a key on their phone to let a tenant through the gate, the intercom hears that tone and triggers the relay connected to the gate operator or the building door strike.

Rossy AI uses the same mechanism. After the required authorization conditions have been satisfied, it sends your intercom’s configured tone through the call that is already connected. The intercom or associated access system interprets that command and activates its configured relay, and the facility gate opens or the storage building entrance unlocks.

Nothing new is installed at the gate. No wiring changes. No replacement panel. Rossy AI works with the command your intercom already recognizes.

Does Rossy AI Work With Your Storage Facility Intercom?

DTMF access requires a compatible telephone or SIP intercom, connected to a gate or door relay, and configured to accept remote DTMF commands.

Generally compatible

  • Gate call boxes and building intercoms that dial out to a phone number
  • SIP and VoIP intercoms on a network connection
  • Cellular-connected call boxes at unmanned sites
  • Systems where a manager or call center already opens the gate using a keypad tone

Needs review before we commit

  • Intercoms with no outbound dialing capability
  • Call boxes wired only to a handset in the site office
  • Systems where remote release has been disabled in configuration
  • Older analog units with no documented DTMF release command
  • Keypad-only entry with no intercom or telephone path
We will not tell you Rossy AI works with every intercom, because it does not. Before anything goes live, our team confirms your make, model, line type and configured release command, and tells you plainly whether it will work.

Connect Rossy AI With Your Existing Storage Systems

Rossy AI connects to the systems that already hold your tenant and account records, so verification runs against live data rather than a static list.

Complete Visibility Into Every Access Request

Every intercom call produces a record, so you can answer what gate hardware alone cannot: who asked to come in, on what basis, and what happened next.

  • Full call recording and transcript for every interaction
  • AI summary of who called, from which entrance, why, and what was decided
  • Verification trail showing which record was checked and what was confirmed
  • Access outcome recorded as opened, declined, or escalated
  • Gate, building and site identification across multi-entrance and multi-facility operations
  • Escalation log showing who was transferred to and when
  • Searchable history by date, site, entrance, tenant, unit or outcome

Frequently Asked Questions

Can Rossy AI open the facility gate for a tenant?

For compatible telephone or SIP intercom configurations, Rossy can send a configured DTMF command during the active call after the required authorization conditions have been satisfied. The intercom or associated access system then interprets that command and activates its configured relay.

Can Rossy AI help a tenant whose access code is not working?

Yes. This is the most common storage intercom call. Rossy checks whether the code matches the account record, identifies common causes such as the wrong keypad or an access-hours restriction, and walks the tenant through re-entering it correctly.

What happens when a tenant’s account is overdue or suspended?

Rossy follows your facility policy. It explains clearly and without judgment that access cannot be provided at this time and escalates to your team. Rossy does not negotiate balances, discuss lien status, or make a payment decision on the call.

Can Rossy AI verify that the caller actually rents the unit?

Yes, when the appropriate authorized system or integration is available. Rossy can check the tenant name, phone number, unit number and rental agreement against the connected source before triggering an authorized action.

Does Rossy AI enforce our access hours?

Yes. Rossy checks whether the request falls inside the authorized access hours for that tenant and applies your configured rules. Requests outside permitted hours are declined or escalated according to your policy.

Can Rossy AI handle a new tenant arriving to move in?

Yes, where move-in appointments are available in the connected system. Rossy can confirm the scheduled move-in, direct the storage customer to the correct building or unit, and apply your policy for tenants who do not yet have an access code.

Can Rossy AI replace our remote call center?

Many facilities use Rossy to handle the routine access calls that make up most of their intercom volume, and route the rest to their team. Whether it replaces a call center entirely depends on what else that call center handles for you.

Does Rossy AI work with our existing gate intercom?

Compatibility depends on the intercom and access-control configuration. The system must support the required telephone or SIP calling workflow, DTMF signaling, and appropriate relay or remote-unlock configuration. We confirm this before deployment.
