How Rossy AI Answers Your Building Intercom
Answers the intercom call
Your building or community intercom calls Rossy AI the same way it would call another configured telephone or SIP destination. Rossy answers the call, greets the caller in your property’s name, and starts the appropriate workflow.
- Answers configured intercom calls 24/7, including overnight, weekends and holidays
- Can handle multiple calls at once, so a delivery rush does not leave visitors waiting
- Identifies whether the call came from the building entrance, lobby door or community gate
Identifies the visitor and the reason for the call
Rossy AI asks who the caller is visiting and why, and collects the details your property requires before any access decision is made.
- Asks who the caller is here to see and the unit number
- Establishes whether the caller is a visitor, guest, delivery person or contractor
- Collects the visitor phone number, delivery information or contractor appointment details
- If the details do not return a match, asks for another identifier and searches again before escalating
Checks the authorization records your property already holds
Rossy AI grants access only where an existing record authorizes it. It does not admit anyone on the strength of what they say at the panel.
- Checks the approved visitor list maintained by your property or by the resident in advance
- Confirms the unit number exists and the resident named is current
- Checks standing unit-level instructions already recorded on the account
- Applies your access schedule, including permitted delivery, contractor and visitor hours
- Confirms the request falls inside the window of any pre-authorization on file
Handles deliveries and scheduled contractor visits
These are the two highest-volume calls at almost every residential property, and both can be checked against a record rather than a person.
- Checks carrier, parcel or order details against expected deliveries
- Applies your delivery policy, including permitted hours and parcel room instructions
- Checks contractor company, work order and scheduled window against the appointment record
- Directs couriers to the parcel room, mail room or correct entrance
- Escalates deliveries and contractor visits that do not match a record
Performs the required actions
Where an existing record authorizes access and your rules allow it, Rossy AI carries out the action that situation requires.
- Send the configured DTMF command after authorization on a tested, compatible intercom, or direct the caller to the approved next step.
- Provides directions to the correct entrance, building, unit or parcel room
- Answers questions about delivery instructions, visitor policy and property rules, and completes other predefined actions required for the interaction
Denies, transfers or records everything else
When required checks cannot be completed, Rossy follows your deny-or-escalate rules. An unverified request does not trigger an automated release command.
- Asks the caller to repeat or provide a second approved detail before escalating
- Explains clearly why access cannot be provided yet
- Transfers to your property manager, concierge or on-call contact
- Denies access when no existing record authorizes it
- Routes emergencies immediately according to your written procedure
- Logs every call with a full recording, transcript, AI summary, verification trail and access outcome
From Intercom Call to Access Decision in Seconds
Most residential buildings have no one at the desk after six, and some have no desk at all. The intercom rings a panel, a resident’s phone, or nothing.
Traditional Building Intercom Workflow
- A visitor presses the intercom at the lobby door.
- The panel dials a resident who may be at work or asleep
- If nobody answers, the visitor is stuck outside
- Delivery drivers press every button until someone buzzes them in
- Residents let in people they have not identified
- A concierge, where one exists, handles it manually
- Contractors and couriers get no consistent process
- No record exists of who was let in, or by whom
With Rossy AI
- A visitor presses the intercom at the lobby door.
- Rossy answers the routed call
- Asks who they are visiting and why
- Collects the unit number, name and visit details
- Checks the approved visitor list, delivery and appointment records
- Applies your property access rules and permitted hours
- Unlocks the lobby door or opens the community gate where a record authorizes it
- Denies or transfers everyone else to your property team
- Records the interaction and outcome
How DTMF Door and Gate Access Works
DTMF stands for dual-tone multi-frequency. It is the technology behind the tones a telephone keypad produces when a key is pressed.
Residential telephone entry systems have used these tones for decades. When a resident presses a key on their phone to buzz a visitor in, the panel hears that tone and triggers the relay connected to the lobby door strike or the community gate operator. Panels from DoorKing, Aiphone, Viking and similar manufacturers are built around this behavior.
Rossy AI uses the same mechanism. After the required authorization conditions have been satisfied, it sends your panel’s configured tone through the call that is already connected. The panel or associated access system interprets that command and activates its configured relay, and the lobby door unlocks or the community gate opens.
We check your existing intercom, DTMF configuration and relay connection. Compatible systems may use existing hardware; any required changes are confirmed before deployment.
What Rossy AI Can Validate
Rossy AI verifies against the records your property already maintains. Every item below is a record held in a connected system, checked before any entrance is released.
| Information | What Rossy AI checks |
|---|---|
|

| Whether the named resident is current for the unit given |
|
Unit number
| Whether the unit exists and is occupied |
|
Visitor authorization
| Whether this visitor was pre-authorized in advance by the resident or property |
|

Does Rossy AI Work With Your Building Intercom?
DTMF access requires a compatible telephone or SIP entry panel, connected to a lobby door or community gate relay, and configured to accept remote DTMF commands.
Generally compatible
- Telephone entry panels that dial out to a phone number
- SIP and VoIP building intercoms on a network connection
- Cellular-connected entry panels at community entrances
- Systems where residents already buzz visitors in using a keypad tone
Needs review before we commit
- Panels with no outbound dialing capability
- Hard-wired handset systems with no external telephone line
- Systems where remote release has been disabled in configuration
- Older analog units with no documented DTMF release command
- App-only smart entry with no intercom or telephone path
Connect Rossy AI With Your Existing Property Systems
Rossy AI connects to the systems that already hold your resident and visitor records, so verification runs against live data rather than a static list.
Setup is handled by our team. There is no code to write on your side.
Complete Visibility Into Every Access Request
Every intercom call produces a record, so your property can answer what an entry panel alone cannot: who asked to come in, on what authority, and what happened next.
- Full call recording and transcript for every interaction
- AI summary of who called, from which entrance, who they were visiting, and what was decided
- Verification trail showing which record was checked and what was confirmed
- Authorization source recorded, showing which list, appointment or delivery record permitted entry
- Access outcome recorded as unlocked, denied, or escalated
- Entrance identification across lobby doors, building entrances and community gates
- Escalation log showing who was transferred to and when
- Searchable history by date, entrance, unit, visitor or outcome

How We Set Up Rossy AI for Your Property
Review Your Entry Panel Environment
We identify how your building or community intercom receives calls, how the lobby door and community gate are currently released, and whether the system supports the required remote access workflow.
Define Your Property Access Rules
Determine which visitor types Rossy may admit against an existing record, which are always transferred to your property team, which are always denied, your delivery and contractor hours, and your escalation contacts.
Connect the Required Systems
Configure applicable integrations with your property management, resident directory, visitor pre-authorization, parcel or access control platforms.
Configure DTMF & Call Routing
For compatible panels, configure the required call routing, DTMF command, and relay behavior for each lobby door, building entrance and community gate.
Test Every Access Scenario
Test pre-authorized visitors, unannounced visitors, deliveries inside and outside permitted hours, scheduled and unscheduled contractors, denied access, transfer workflows and emergency routing before deployment.
Go Live & Monitor
We review early calls and refine your workflow. Your team can review outcomes and request ongoing support.

Frequently Asked Questions
Can Rossy AI let a visitor into our building?
Only where an existing record authorizes it. For compatible telephone or SIP panels, Rossy can send a configured DTMF command after the required authorization conditions have been satisfied, such as a pre-authorized visitor on the approved list or a contractor with a scheduled appointment. Callers without such a record are transferred or denied.
Does Rossy AI call the resident to ask whether someone can come in?
No. Rossy does not contact residents for approval and does not grant access on an instruction given during a call. Access decisions are made only against records already held in your connected systems. Anything that needs a person’s judgment goes to your property manager or on-call contact.
What happens when a visitor is not on the approved list?
Rossy does not admit them. It explains that it cannot provide access, transfers the call to your property manager, concierge or on-call contact according to your policy, and records the attempt.
How does Rossy AI handle delivery drivers?
According to your configured delivery policy. That may include checking carrier or parcel details against expected deliveries, permitting access only inside your delivery hours, directing the driver to a parcel room, or transferring to your property manager where nothing matches.
Can different units have different visitor rules?
Yes, where those instructions are recorded on the account in advance. A unit set to accept deliveries but not unannounced visitors is handled differently from one with a standing pre-authorization for a regular guest.
Can Rossy AI open a community gate as well as a lobby door?
Yes, where each entrance is configured with its own identifiable calling destination and release command. Rossy applies the rules for that specific entrance and sends the correct command for it.
Do residents need to do anything for this to work?
Only if your property lets residents pre-authorize their own visitors. Where that is available, a resident adds an expected guest in advance and Rossy checks that record at the door. Residents are never called during an access request.
Does Rossy AI work with our existing entry panel?
Compatibility depends on the panel and access-control configuration. The system must support the required telephone or SIP calling workflow, DTMF signaling, and appropriate relay or remote-unlock configuration. We confirm this before deployment.
