How Rossy AI Answers Your Club Entrance Intercom
Answers the call immediately
Your club entrance intercom calls Rossy AI the same way it would call another configured telephone or SIP destination. Rossy answers the call, greets the caller in your club’s name, and starts the appropriate workflow.
- Answers configured intercom calls 24/7, including early mornings, late evenings and holidays
- Can handle multiple calls at once, so members arriving before a class do not queue at the door
- Identifies which club entrance or facility door the call came from across your site or sites
Identifies the member or guest
Rossy AI asks for membership or reservation information, and checks existing systems before asking the caller to repeat anything.
- Asks for the member name, membership number or reservation details
- Uses existing data when available, without asking the member to repeat it
- Establishes whether the caller is a member, a registered guest, an instructor, a coach or an event attendee
- If the details do not return a match, asks for another identifier and searches again before escalating
Confirms the membership or booking is active
Rossy AI checks the caller’s details against your club’s access rules, not just your records.
- Confirms membership status is active, rather than expired, suspended or on hold
- Checks the court or facility booking, class reservation or event registration for today
- Confirms the caller is within the permitted access time for their membership category
- Applies your rules on off-peak categories, class-only memberships and seasonal access
Checks whether guests have been registered
Guest access is where club policy is easiest to break and hardest to police. Rossy AI checks it every time.
- Confirms the guest appears on a registration submitted by a member
- Confirms the sponsoring member is current and permitted to bring guests
- Applies your guest limits, fees and frequency rules
- Escalates unregistered guests to your club team rather than admitting them
Performs the required actions
Once the membership or booking is confirmed and your rules allow it, Rossy AI carries out the action that situation requires.
- Sends the configured DTMF command to unlock a compatible club entrance or facility door, using your existing intercom with no new hardware installed
- Provides directions to the assigned court, studio, class or event space
- Answers questions about opening hours, class times, court availability and club rules, and completes other predefined actions required for the interaction
Escalates memberships and guests that cannot be confirmed
Rossy AI does not guess, and it handles a lapsed member with the courtesy your club would.
- Asks the caller to repeat or provide a second approved detail before escalating
- Explains clearly and politely why the door cannot be unlocked yet
- Escalates expired and suspended memberships to your club team rather than turning a member away at the door
- Transfers unregistered guests to a member of staff who can decide
- Routes emergencies immediately according to your written procedure
- Logs every call with a full recording, transcript, AI summary, verification trail and access outcome
From Intercom Call to Access Decision in Seconds
Clubs sell access as a membership benefit and staff reception as a cost. Members pay for early mornings and late evenings; reception covers the middle of the day. The intercom sits in the gap.
Traditional Club Entrance Workflow
- A member presses the intercom at the club entrance.
- Reception is closed, or staff are on the floor with members
- The call diverts to a duty manager’s phone
- A member who pays for extended access waits outside
- Someone opens the membership system to check the account
- They check whether a guest was registered, or take the member’s word for it
- They unlock the door and explain where to go
- Guest policy is applied inconsistently, depending on who answers
- No record exists of who was admitted, or as whose guest
With Rossy AI
- A member presses the intercom at the club entrance.
- Rossy answers instantly
- Identifies the member or guest using available data
- Collects the membership number, name or reservation
- Checks the connected authorized system
- Confirms membership status and the booking for today
- Checks whether any guest has been registered
- Unlocks the facility door when authorized
- Escalates expired memberships and unregistered guests to staff
- Records the interaction and outcome
How DTMF Door Access Works
DTMF stands for dual-tone multi-frequency. It is the technology behind the tones a telephone keypad produces when a key is pressed.
Telephone and SIP intercoms have accepted these tones as a remote door-release command for years. When a duty manager presses a key on their phone to let a member into the club, the intercom hears that tone and triggers the relay connected to the door strike.
Rossy AI uses the same mechanism. After the required authorization conditions have been satisfied, it sends your intercom’s configured tone through the call that is already connected. The intercom or associated access system interprets that command and activates its configured relay, and the club entrance or facility door unlocks.
Nothing new is installed at the entrance. No wiring changes. No replacement panel. Rossy AI works with the command your intercom already recognizes.

Does Rossy AI Work With Your Club Intercom?
DTMF door access requires a compatible telephone or SIP intercom, connected to a door relay or access system, and configured to accept remote DTMF commands.
Generally compatible
- Club entrance intercoms and call boxes that dial out to a phone number
- SIP and VoIP intercoms on a network connection
- Cellular-connected entry panels at outdoor courts and satellite facilities
- Systems where a duty manager already unlocks the door using a keypad tone
Needs review before we commit
- Intercoms with no outbound dialing capability
- Panels wired only to a handset at reception
- Systems where remote release has been disabled in configuration
- Older analog units with no documented DTMF release command
- Key fob or app-only entry with no intercom or telephone path
Connect Rossy AI With Your Existing Club Systems
Rossy AI connects to the systems that already hold your membership and booking records, so verification runs against live data rather than a static list.
Setup is handled by our team. There is no code to write on your side.
Complete Visibility Into Every Access Request
Every intercom call produces a record, so your club can answer what a key fob reader alone cannot: who asked to come in, as whose guest, and what happened next.
- Full call recording and transcript for every interaction
- AI summary of who called, from which entrance, why, and what was decided
- Verification trail showing which record was checked and what was confirmed
- Guest log showing who was admitted and which member sponsored them
- Access outcome recorded as unlocked, declined, or escalated
- Entrance identification across club entrances, facility doors and satellite sites
- Escalation log showing who was transferred to and when
- Searchable history by date, entrance, member, membership number or outcome

Frequently Asked Questions
Can Rossy AI check whether a membership is active before unlocking the door?
Yes, when the appropriate authorized system or integration is available. Rossy can check the member name, membership number and membership status against the connected source, and apply your rules on expired, suspended and on-hold accounts.
How does Rossy AI handle guests?
It checks whether the guest was registered and by which sponsoring member, confirms that member is current and permitted to bring guests, and applies your guest limit and frequency rules. Unregistered guests are transferred to staff rather than admitted.
What happens when a member’s membership has expired?
Rossy explains politely that access cannot be provided at this time and escalates to your club team. It does not process renewals, discuss fees, or turn a member away without a person being involved, because a lapsed member at the door is usually a renewal conversation rather than a security event.
Can different membership categories have different access hours?
Yes. Rossy checks whether the request falls inside the permitted access time for that member’s category, so off-peak, class-only and seasonal memberships are handled according to your rules.
Can Rossy AI handle instructors, coaches and event attendees?
Yes. Rossy establishes the caller type first, then applies the rules you configure for each. Instructors and coaches can be checked against scheduled classes, and event attendees against event registrations for that day.
Can Rossy AI tell a member which court or studio they are booked into?
Yes, where the booking is available in the connected system. Rossy can confirm the court, studio or facility reserved, the time, and provide directions once the door is unlocked.
Does Rossy AI work outside reception hours?
Yes. Rossy answers configured intercom calls 24/7, which is the main reason clubs use it. Members who pay for extended access get a consistent answer at six in the morning and ten at night.
Does Rossy AI work with our existing intercom?
Compatibility depends on the intercom and access-control configuration. The system must support the required telephone or SIP calling workflow, DTMF signaling, and appropriate relay or remote-unlock configuration. We confirm this before deployment.
