How Rossy AI Answers Your Entrance Gate Intercom
Answers the intercom call
Your entrance gate intercom calls Rossy AI the same way it would call another configured telephone or SIP destination. Rossy answers the call, greets the arriving guest in your park’s name, and starts the appropriate workflow.
- Answers configured intercom calls 24/7, including late evenings, weekends and out of season
- Can handle multiple calls at once, so a Friday evening arrival rush does not back up onto the highway
- Identifies whether the call came from the main entrance gate or another controlled entry point
Identifies the guest and the vehicle
Rossy AI asks for the reservation and vehicle information, and checks existing systems before asking a tired driver to repeat anything.
- Asks for the guest name, reservation number or phone number
- Collects the vehicle information, including rig type, length and license plate where your park records it
- Establishes whether the caller is a registered guest, a camper already staying, a visitor, or a walk-in
- If the details do not return a match, asks for another identifier and searches again before escalating
Confirms the campsite and check-in period
Rossy AI checks the caller’s details against your park’s arrival rules, not just your records.
- Confirms the campsite number assigned to the reservation
- Checks the check-in and check-out dates against today
- Confirms the guest is arriving on the correct night, not a day early or a day late
- Applies your late-arrival authorization rules and quiet-hours policy
Provides arrival and site directions
A driver towing a rig in the dark needs directions more than they need a gate. Rossy AI gives them before the barrier lifts.
- Provides the campsite number and directions to the site
- Explains the route through the park, including one-way loops and low branches where your park notes them
- Gives after-hours check-in instructions, such as where paperwork or a welcome packet has been left
- States quiet hours, speed limits and any arrival rules the park applies at night
Performs the required actions
Once the reservation is confirmed and your rules allow it, Rossy AI carries out the action that situation requires.
- Send the configured DTMF command after authorization on a tested, compatible intercom, or direct the caller to the approved next step.
- Answers questions about hookups, dump stations, office hours, amenities and park rules
- Completes other predefined actions required for the interaction, such as notifying your on-call host that a late arrival has entered
Escalates walk-ins, wrong dates and unregistered visitors
When required checks cannot be completed, Rossy follows your deny-or-escalate rules. An unverified request does not trigger an automated release command.
- Asks the guest to repeat or provide a second approved detail before escalating
- Explains clearly why the gate cannot be opened yet
- Escalates walk-in guests with no reservation to your on-call host or camp manager
- Transfers guests whose dates do not match, rather than turning them away at a gate in the dark
- Escalates unregistered visitors according to your park’s visitor policy
- Routes emergencies immediately according to your written procedure
- Logs every call with a full recording, transcript, AI summary, verification trail and access outcome
From Intercom Call to Gate Decision in Seconds
Campground arrivals do not respect office hours. Guests leave work on Friday, drive four hours, and reach the gate at eleven at night, towing a rig, with children asleep in the back. The office closed at six.
Traditional Entrance Gate Workflow
- A guest presses the intercom at the entrance gate.
- The office is closed for the evening or for the season
- The call rings an on-call host’s personal phone
- It wakes them, or nobody answers at all
- The guest waits at the gate, sometimes blocking the road
- Someone eventually checks the reservation on a phone
- They open the gate and try to explain directions verbally
- Late arrivals become the most disliked part of the job
- No record exists of who entered the park overnight
With Rossy AI
- A guest presses the intercom at the entrance gate.
- Rossy answers the routed call
- Identifies the guest and vehicle using available data
- Collects the reservation number, name or phone number
- Checks the connected reservation system
- Confirms the campsite and check-in period
- Provides arrival and site directions
- Opens the vehicle entrance gate when authorized
- Escalates walk-ins, wrong dates and unregistered visitors
- Records the interaction and outcome
How DTMF Gate Access Works
DTMF stands for dual-tone multi-frequency. It is the technology behind the tones a telephone keypad produces when a key is pressed.
Telephone and SIP intercoms have accepted these tones as a remote gate command for years. When a camp host presses a key on their phone to open the gate for a late arrival, the intercom hears that tone and triggers the relay connected to the gate operator.
Rossy AI uses the same mechanism. After the required authorization conditions have been satisfied, it sends your intercom’s configured tone through the call that is already connected. The intercom or associated access system interprets that command and activates its configured relay, and the vehicle entrance gate opens.
We check your existing intercom, DTMF configuration and relay connection. Compatible systems may use existing hardware; any required changes are confirmed before deployment.

Does Rossy AI Work With Your Gate Intercom?
DTMF gate access requires a compatible telephone or SIP intercom, connected to a gate relay or access system, and configured to accept remote DTMF commands.
Generally compatible
- Entrance gate call boxes that dial out to a phone number
- SIP and VoIP intercoms on a network connection
- Cellular-connected call boxes at rural and remote park entrances
- Systems where a camp host already opens the gate using a keypad tone
Needs review before we commit
- Intercoms with no outbound dialing capability
- Call boxes wired only to a handset in the park office
- Systems where remote release has been disabled in configuration
- Older analog units with no documented DTMF release command
- Keypad or code-only entry with no intercom or telephone path
We will not tell you Rossy AI works with every intercom, because it does not. Before anything goes live, our team confirms your make, model, line type and configured gate command, and tells you plainly whether it will work.
Connect Rossy AI With Your Existing Park Systems
Rossy AI connects to the systems that already hold your reservation records, so verification runs against live data rather than a static list.
Setup is handled by our team. There is no code to write on your side.
Complete Visibility Into Every Access Request
Every intercom call produces a record, so your park can answer what gate hardware alone cannot: who arrived overnight, on which reservation, and what happened next.
- Full call recording and transcript for every interaction
- AI summary of who called, from which entrance, for which campsite, and what was decided
- Verification trail showing which record was checked and what was confirmed
- Arrival time recorded against the reservation, including late arrivals
- Visitor log showing who was admitted and which guest registered them
- Record the access decision and command sent; confirm physical opening only where hardware feedback is available.
- Escalation log showing who was transferred to and when
- Searchable history by date, campsite, reservation, vehicle or outcome

Frequently Asked Questions
Can Rossy AI handle late arrivals after the office closes?
Yes. This is the main reason campgrounds and RV resorts use it. Rossy answers configured intercom calls 24/7, verifies the reservation and check-in dates, provides site directions, and can open the gate for guests arriving long after the office has closed.
Can Rossy AI verify a campground reservation at the gate?
Yes, when the appropriate authorized system or integration is available. Rossy can check the guest name, reservation number, phone number and check-in dates against the connected source before triggering an authorized action.
Can Rossy AI give a guest directions to their campsite?
Yes, where the site assignment is available in the connected system. Rossy can provide the campsite number, directions through the park, and after-hours check-in instructions such as where a welcome packet has been left.
What happens if a guest arrives on the wrong date?
Rossy does not open the gate on a reservation that is not for tonight. It explains the dates on the booking and transfers the call to your on-call host, because a family at a gate in the dark with the wrong date needs a person, not a refusal.
What happens with a walk-in guest who has no reservation?
Rossy collects their details and escalates to your on-call host or camp manager. It does not admit unbooked vehicles unless your rules specifically permit it.
Can Rossy AI handle visitors coming to see a camper already staying?
Yes, according to your visitor policy. Rossy checks whether the visitor was registered by a guest in the park and applies your rules, escalating unregistered visitors rather than admitting them.
Does Rossy AI work at rural parks with weak signal?
That depends on connectivity at the gate rather than on Rossy. A cellular call box needs usable coverage to place its call. We check connectivity during the review and tell you honestly if the gate location is a problem.
Does Rossy AI work with our existing gate intercom?
Compatibility depends on the intercom and access-control configuration. The system must support the required telephone or SIP calling workflow, DTMF signaling, and appropriate relay or remote-unlock configuration. We confirm this before deployment.
