How Rossy AI Answers Your Site Intercom
Answers the call immediately
Your security entrance, personnel door or vehicle gate intercom calls Rossy AI the same way it would call another configured telephone or SIP destination. Rossy answers the call, greets the caller in your site’s name, and starts the appropriate workflow.
- Answers configured intercom calls 24/7, including shift changes, nights, weekends and shutdown periods
- Can handle multiple calls at once, so a shift-start queue does not build at the entrance
- Identifies which entrance the call came from, and applies the rules for that specific entry point
Identifies the person, company and reason for entry
Rossy AI establishes who is calling and why before any record is checked or any action is taken.
- Asks for the person’s name, the company they represent, and their reason for entry
- Establishes whether the caller is an employee, contractor, supplier, service technician, delivery driver or visitor
- Collects the work order, appointment reference or the name of the person they are here to see
- If the details do not return a match, asks for another identifier and searches again before escalating
Checks the appointment, work order or approved-access record
Rossy AI checks the caller’s details against your site’s entry rules, not just your records.
- Checks the work order against open and scheduled maintenance jobs
- Confirms supplier appointments and delivery schedule entries for today
- Verifies contractor authorization against your approved contractor records
- Checks visitor approval, including who authorized the visit and whether a host is expecting them
- Confirms the request falls inside the authorized entry time for that person or company
Confirms required safety and site-entry conditions
Manufacturing sites do not admit people who have not met entry conditions. Rossy AI checks the record before the entrance is released.
- Checks whether the contractor’s safety or induction status is current in your connected system
- Confirms any permit to work referenced by the job is in place
- States your site-entry requirements on the call, including PPE and reporting instructions
- Records the caller’s acknowledgment of those requirements
- Escalates to a person where induction is missing, expired, or cannot be confirmed
Releases the correct entrance
Sites have more than one way in, and the wrong one opening is a security event. Rossy AI sends the command configured for the entrance the caller is actually standing at.
- Sends the configured DTMF command for that specific personnel door, security entrance or vehicle gate
- Uses your existing intercom with no new hardware installed
- Provides directions to reception, the security office, the assigned area or the correct entrance
- Answers questions about site procedure, reporting points and entry requirements
Transfers restricted, safety and unverified requests
Rossy AI does not guess, and it does not make a security judgment on your behalf.
- Asks the caller to repeat or provide a second approved detail before escalating
- Explains clearly why entry cannot be authorized yet
- Transfers restricted-area requests to security or a site manager
- Escalates any safety or induction question that cannot be confirmed from the record
- Transfers unverified callers rather than admitting them
- Routes emergencies immediately according to your written procedure
- Logs every call with a full recording, transcript, AI summary, verification trail and access outcome
From Intercom Call to Access Decision in Seconds
Manufacturing entrances get calls from six different kinds of people, each needing a different check. A contractor with a work order is not a supplier with an appointment, and neither is an employee whose badge stopped working at the start of a night shift.
Traditional Site Entrance Workflow
- Someone presses the intercom at the security entrance.
- A guard or site staff member must be available to answer
- Outside staffed hours, the call rings out or diverts to a manager
- The caller explains who they are and why they are here
- Someone checks the appointment book, work order system or visitor log
- They try to confirm induction status, often by asking the caller
- They decide whether to release the entrance
- Different entrances need different commands, and mistakes happen
- No consistent record exists of who entered, on what basis, and who approved it
With Rossy AI
- Someone presses the intercom at the security entrance.
- Rossy answers instantly
- Identifies the person, company and reason for entry
- Checks the appointment, work order or approved-access record
- Confirms safety and induction status from the connected system
- States your site-entry requirements and records acknowledgment
- Releases the correct entrance when authorized
- Provides reporting and directions instructions
- Transfers restricted-area and unverified requests to security
- Records the interaction and outcome
How DTMF Door and Gate Access Works
DTMF stands for dual-tone multi-frequency. It is the technology behind the tones a telephone keypad produces when a key is pressed.
Telephone and SIP intercoms have accepted these tones as a remote release command for years. When a guard presses a key on their phone to release a personnel door or raise a vehicle barrier, the intercom hears that tone and triggers the relay connected to that entrance.
Rossy AI uses the same mechanism. After the required authorization conditions have been satisfied, it sends the tone configured for that specific entrance through the call that is already connected. The intercom or associated access system interprets that command and activates its configured relay, and the personnel door unlocks or the vehicle gate opens.
Each entrance can carry its own command, so the entry point the caller is standing at is the entry point that releases. Nothing new is installed. No wiring changes. No replacement panel.

Does Rossy AI Work With Your Site Intercom?
DTMF access requires a compatible telephone or SIP intercom, connected to a door or gate relay, and configured to accept remote DTMF commands.
Generally compatible
- Security entrance and gatehouse intercoms that dial out to a phone number
- SIP and VoIP intercoms on a network connection
- Cellular-connected call boxes at remote or unstaffed entrances
- Systems where a guard already releases the entrance using a keypad tone
Needs review before we commit
- Intercoms with no outbound dialing capability
- Call boxes wired only to a handset in the security office
- Systems where remote release has been disabled in configuration
- Older analog units with no documented DTMF release command
- Badge or biometric-only entry with no intercom or telephone path
Connect Rossy AI With Your Existing Site Systems
Rossy AI connects to the systems that already hold your access and compliance records, so verification runs against live data rather than a static list.
Setup is handled by our team. There is no code to write on your side.
Complete Visibility Into Every Access Request
Every intercom call produces a record, so your site can answer what an access reader alone cannot: who asked to come in, on what authority, and what happened next.
- Full call recording and transcript for every interaction
- AI summary of who called, from which entrance, for which job or appointment, and what was decided
- Verification trail showing which record was checked and what was confirmed
- Safety acknowledgment log showing what requirements were stated and acknowledged
- Access outcome recorded as released, declined, or escalated
- Entrance identification across security entrances, personnel doors and vehicle gates
- Escalation log showing who was transferred to and when
- Searchable history by date, entrance, company, work order or outcome

Frequently Asked Questions
Can Rossy AI check whether a contractor is inducted before letting them in?
Rossy checks whether the induction or safety record in your connected system is current, and applies your rules on what happens when it is missing or expired. It verifies the record, not the person’s actual competence or condition on the day.
Can Rossy AI verify a work order at the entrance?
Yes, when the appropriate authorized system or integration is available. Rossy can check the work order reference against open and scheduled jobs, and confirm the contractor and company match the job before triggering an authorized action.
Can Rossy AI release different entrances with different commands?
Yes. Each security entrance, personnel door and vehicle gate can be configured with its own identifiable calling destination and its own DTMF command, so the entrance the caller is standing at is the one that releases.
What happens with a restricted-area request?
Rossy does not make that decision. Restricted-area requests are transferred to security or a site manager according to your policy, with the full call context attached.
Can Rossy AI help employees whose badge has stopped working?
It can identify the employee against your directory and follow your configured policy, which for many sites means transferring to security rather than releasing the entrance. Voice alone is not identity verification, and the page recommends treating it that way.
Does Rossy AI enforce our PPE and site-entry requirements?
Rossy states your requirements on the call and records that the caller acknowledged them, which gives you an auditable trail. It cannot confirm that PPE is actually worn or that instructions are followed once the person is on site.
Can Rossy AI handle suppliers and delivery drivers as well as contractors?
Yes. Rossy establishes the caller type first, then applies the rules you configure for each, checking supplier appointments and delivery schedule entries the same way it checks work orders for contractors.
Does Rossy AI work with our existing intercom?
Compatibility depends on the intercom and access-control configuration. The system must support the required telephone or SIP calling workflow, DTMF signaling, and appropriate relay or remote-unlock configuration. We confirm this for each entrance before deployment.
